Responsibilities:

- Advertisement -
  • Assist in preparing and maintaining complete tracking sheets for all procurement activities in the field office and reports to Assistant Coordinator.
  • Assist in preparing required documents to issue equipment to staff, record return, damage or losses
  • Ensure that all assets/equipment are updated, documented and recorded to the system
  • Ensure that all procurement process and documentation is aligned with Akkarouna policies and procedures
  • Ensure that all procurement process is according to Akkarouna’s procurement checklist
  • Ensure that all procurement process is compliant with international partner and donners
  • Assist in conducting procurement and logistical arrangements, perform daily procurement actions for the implementation of Program activities such as procurement of equipment, goods and services, providing all documents in time and in compliance with Akkarouna procurement procedures and rules;
  • Assist in preparing all the necessary documentation for tenders (ITBs, RFQs), communication with Evaluation panel members and development of Evaluation reports according to the Akkarouna procurement procedures;
  • Assist in preparing transfer and handover documents in compliance with Akkarouna procurement procedures;
  • Assist in ensuring customs clearance of all imported goods (if any) and proper administration of the procurement process until the final acceptance of goods/services;
  • Assist in ensuring timely preparation of documentation for reporting on procurement activities;
  • Assist in preparing contracts and keep regular contact with service providers for monitoring of their contracts’ terms at administrative level;
  • Assist to ensuring regular update of a database of contract documentation, terms of references, list of suppliers of goods and services;
  • Assure proper filing of all procurement related documentation
  • Assist to performing other duties and responsibilities as required

Experience and technical competencies required: (include years of experience)

- Advertisement -
  • Substantial knowledge of standards logistics procedures and practices
  • Knowledge of inventory computer system
  • Ability to multitask and deal with stressful situation
  • Ability to adapt to the working environment
  • Ability to work in team setting
  • 2 years’ experience in related field

Education: (include certificates, licenses etc.)
